Privacy Policy

AI Estimator is operated by AI Estimator LLC. If you have questions about this policy or your data, contact us at the address listed in section 11.

We collect three categories of information:

• Account information. Email address, business name, contact details, logo, and the trade you operate in. You provide this when you sign up.
• Quote and customer information. Job notes you type or dictate, customer names, phone numbers, email addresses, and the quotes generated from them. This is data you bring into the product to do your job.
• Billing information. Plan selection, billing address, and subscription status. Card numbers are processed directly by Stripe — we never see or store your full card number.
• Usage information. Standard server logs (IP address, user-agent, timestamps), error reports, and aggregated metrics about how the product is used.

We use your information to:

• Provide the service: generate quotes, deliver them to your customers, and keep your dashboard accurate.
• Process payments and manage your subscription (via Stripe).
• Send you transactional messages — quote receipts, billing notices, trial reminders, and security alerts. These are not marketing.
• Detect, prevent, and respond to fraud, abuse, and security incidents.
• Improve the product. Aggregated, de-identified usage data may be used to evaluate quality and prioritize roadmap.

We use a small set of vendors to run the product. Each only receives the data needed for its role.

• Supabase — database, authentication, and file storage hosting.
• Vercel — application hosting and edge delivery.
• OpenAI — generates draft quote line items from job notes and transcribes voice notes. We do not allow OpenAI to use this content to train its models.
• Stripe — payment processing and subscription billing.
• Resend — transactional email delivery.
• Twilio — transactional SMS delivery.

We do not sell your information, and we do not share it with advertisers.

When you create a quote, you may enter information about your customer. You are the controller of that data; we are a processor acting on your behalf. You are responsible for having a lawful basis to share it with us, and for telling your customers how their information is used.

We keep your account data for as long as your account is active. Quote history and customer records are retained until you delete them or close your account. Voice-note audio files are deleted from storage 24 hours after transcription completes. Server logs are retained for up to 30 days.

When you cancel, your account becomes read-only for 30 days so you can export your data, then it is scheduled for deletion.

Depending on where you live, you may have the right to access, correct, export, or delete your personal information; to object to or restrict certain processing; and to lodge a complaint with a data protection authority. To exercise any of these rights, email us at the address in section 11.

We use industry-standard practices to protect your data: encryption in transit (TLS), encryption at rest (provider defaults), row-level security to keep tenants isolated, and least-privilege access controls. No system is perfect; if you suspect a security issue, contact us immediately.

AI Estimator is operated from the United States. By using the service, you understand that your information may be processed in the United States and other countries where our service providers operate.

We may update this policy from time to time. If we make material changes, we will notify you by email or through the product. Continued use after the effective date means you accept the updated policy.
